5. HIPAA Compliance

As a provider of services to healthcare organizations, OfficeRidge may have access to Protected Health Information (PHI) as defined by the Health Insurance Portability and Accountability Act (HIPAA). When we act as a Business Associate to covered entities:

  • We enter into Business Associate Agreements (BAAs) with covered entities
  • We implement all required administrative, physical, and technical safeguards
  • We only use or disclose PHI as permitted by our BAA or as required by law
  • We report any unauthorized uses or disclosures of PHI
  • We ensure that any subcontractors who have access to PHI agree to the same restrictions
  • We make our policies and procedures available to the Secretary of Health and Human Services

6. Data Retention

We retain personal information we collect from you for as long as necessary to fulfill the purposes for which we collected it, including for the purposes of satisfying any legal, accounting, or reporting requirements, to establish or defend legal claims, or for fraud prevention purposes.

To determine the appropriate retention period for personal information, we consider the amount, nature, and sensitivity of the personal information, the potential risk of harm from unauthorized use or disclosure of your personal information, the purposes for which we process your personal information and whether we can achieve those purposes through other means, and the applicable legal requirements.
